Job Description

The Independent Institute of Education (IIE) is a registered private higher education provider and a wholly owned subsidiary of ADvTECH Ltd, listed on the JSE.

The IIE’s Academic Centre of Excellence (ACE) is excited to invite applications for the role of ZOHO Platform and Systems Specialist. Based at the IIE’s head office in Sandton, to help drive the implementation of our AQMS across our tertiary education brands.

The AQMS is a strategic institutional initiative designed to strengthen how academic quality, oversight, and governance processes are structured and managed. It introduces clearer workflows, improved visibility, and stronger accountability across key academic functions.

The Platform & Systems Specialist plays a central role in configuring and enabling the digital platform that supports these governance processes. They ensure that workflows, approval pathways, permissions, and automation are implemented accurately and securely in line with defined business requirements.

This role works closely with business analysts, data specialists, IT, and governance stakeholders to ensure that the system is stable, scalable, and aligned to institutional standards.

In practical terms, this is the person who ensures that:

  • Governance workflows operate as designed
  • Approval and escalation pathways function correctly
  • Role-based access controls are secure and defensible
  • Automation supports structured oversight
  • The platform remains reliable and maintainable over time

This is a hands-on configuration and systems role at the centre of a high-impact institutional initiative.


Role purpose:

The Platform & Systems Specialist is responsible for configuring, customising, and securing the digital platform that underpins AQMS governance processes.

This role ensures that system configuration aligns with approved business requirements, role-based governance models, and institutional data integrity standards.

The successful candidate will operate within a structured, governance-driven environment and must demonstrate disciplined configuration capability, strong automation skills, and robust documentation practices.

 
Key Responsibilities:

Platform Configuration & Customisation

  • Configure custom modules, fields, layouts, and workflows within the platform
  • Implement structured approval hierarchies and governance workflows
  • Align system design to approved business requirements and process models

Automation & Custom Functions

  • Develop and maintain custom functions and automation scripts
  • Design automation rules to support compliance checkpoints and workflow integrity
  • Ensure automation logic is stable, scalable, and well-documented.

Role & Permission Architecture

  • Design and implement enterprise-grade role-based access controls
  • Configure profiles, roles, data sharing rules, and permission hierarchies
  • Ensure appropriate segregation of duties and data protection standards

Data Migration & Validation

  • Support structured data migration and import activities
  • Design validation logic to maintain data quality and integrity
  • Perform data verification and reconciliation activities

Documentation & Governance Alignment

  • Maintain structured configuration documentation
  • Support User Acceptance Testing and structured defect resolution
  • Operate within defined change control and release management processes


Required Experience & Technical Capability

  • Minimum 3 years hands-on experience configuring Zoho CRM or Zoho One environments
  • Proven experience developing automation using
  • Experience configuring modules, workflows, validation rules, and approval processes within Zoho CRM and CRM Plus environments.
  • Experience designing role-based permissions, profiles, and data sharing rules
  • Experience implementing workflow automation and governance processes
  • Experience supporting data migration, structured data imports, and data validation

Advantageous:

  • Experience working with Zoho ecosystem tools such as Zoho Flow, Zoho Analytics, or Zoho Creator
  • Experience working with REST APIs or system integrations
  • Exposure to web technologies such as JavaScript, HTML or CSS for integration scenarios
  • Experience working within regulated or governance-driven environments

Minimum Qualification
Bachelor’s degree (NQF Level 7) in the following: Information Systems, Computer Science, Software Development, Information Technology.

  • Formal training in secure system configuration or access control models
  • Exposure to governance or compliance-driven system environments
